The Basic module is where all of the equipment data, supplier & manufacturer's information, spare part, and categories for all data.
The center of API Pro is the Plant Explorer. Through this program you can access all the information available in the system. From current and previous work orders to spare part inventory, preventive maintenance PM history and purchasing information. This program also allows the user to order or plan jobs.
 
The Change Logging module provides a traceability of information that may be critical to your company. This module was designed for the pharmaceutical industry, but the benefits could be received from any industry. This module provides the ease to validate API Pro for 21 CFR 11 regulations, FDA, GxP compliance, or even ISO.
Using the traceability offered with this module a paperless CMMS system is easier to accomplish.

The drawings and documents module allows users easy access to technical drawings, schematics, and any relevant information needed during maintenance (or research) of the equipment. This module also provides access to internet sites and movies.
Many organizations can utilize this module by accessing maintenance manuals on the correct procedure to perform a task.
To improve the search for spare parts, pictures of the spare parts will allow users to quickly find the right part (versus relying strictly on the description or technical details).
If your company is moving towards a paper less record retention system, and still requires a hard copy printout with a signature, hard copy work orders (PM) can be scanned, and attached to the work order in API Pro. Thus providing auditors with fast access to the information needed.
 
The Graphical Navigator allows users easy access to information through the use of pictures. The users will be able to easily navigate through the plant with pictures of the equipment and access information or even order/plan jobs.
When the graphical navigator is used with the document and drawings module, users are able to search for spare part pictures, equipment drawings, or other documents without having to type. This makes it easy on the users that are not speed typers.

The Messaging module notifies users when action is needed for them, whether a maintenance individual is informed about a stopped line, when someone's parts are received in, or if approvals are needed. This module reduces the time in between steps in the maintenance process. When a user receives a new message, a notification will be displayed on the API Pro Main Menu. If email is the main form of communication in your organization, then API Pro will send an email to the users email address.
 
The Multi-Site module allows multiple sites with different data to be using one system without each site interfering with one another. If needed, information can be accessed for read only. Inventory information can be available to all sites to modify, but maintenance data is site specific. You have many possibilities on the access control that API Pro provides for each site using the Multi-site module.
 
As with any CMMS, this module is the basis of controlling your maintenance process. With API Pro, the users have an option to create multiple types of work orders to better define your work process. Listed below are the different types of work orders that can be generated in API Pro:
CMU - Corrective Maintenance Unplanned
CMP - Corrective Maintenance Planned
PM - Preventive Maintenance
PdM - Predetermined (Predictive) Maintenance
CBM - Conditioned Based Maintenance
INS - Inspection (Inspections can also be created not linked to work orders)
OTH - Other type of work order
In the maintenance module you can create work orders, track work in process, view history, and analyze the maintenance work on the equipment. When creating work orders, or after they have been ordered, you can plan internal and external resources, reserve parts, and check on the status of ordered items.
 
With API Pro CMMS, your maintenance organization can control and track the calibration needed on equipment. This module ensures your company stays in conformance with ISO, FDA, GxP, etc. in regards to calibration.
 
Unlike many other CMMS software, API Pro allows the user to perform inspections with or without creating work orders. The most common way of creating inspections is with templates. These templates define the inspection points on the equipment, special instructions, time intervals, and minimum/maximum readings. If the reading falls outside of the min or max the user is informed to create a WO for the repair.
 
When equipment fails, your maintenance department needs to know right away. With the Job Ordering module, your maintenance department will know right away. This program allows someone with no maintenance experience to order a job for someone else to complete. One of the major problems with maintenance departments today is communication, with this program your operators can communicate problems with the machine and someone in the maintenance department can determine when the issue can be fixed. The operator will have access to track the jobs ordered or, with the messaging program, the operator will receive emails on the status of the job (ie. what is the scheduled date, when the work was approved, and when the work was started and completed).
 
When your equipment requires an overhaul or an upgrade, all work and resources needed can be planned within the Project Management program in API Pro. This module also includes a Project explorer to easily get updated on the status of the projects and update management with man hours and costs. The Project Management program offers an interface with Microsoft Project to provide updated detailed information to individuals without the CMMS access.
 
For companies that invoice others for the maintenance performed, the Service Module provides the ability to track the maintenance resources (internal/external resources, spare parts, etc.) used on all work orders for their customers. After the work is complete the user can send the invoice for one, or many, work orders the the customer from API Pro. If your company is using an Invoicing software, API Pro can interface with this software to provide all the maintenance data for your customer.
 
Specialty tools that your maintenance personnel need to perform their jobs are not always available for everyone. If your company has a tool crib for these specialty tools, then the Tool Management module will allow the user to control who has the tool, how long the tool was out, and maintenance on the tools. Or for the companies who have tools that requires calibration, the tools can be tracked and controlled in the Calibration Module also. The Tool Module is basically a lending program which has many uses, like equipment manuals, equipment schematics, etc.
 
The Analysis Module provides maintenance the ability to generate reports and analyze maintenance activities with ease. This module has many different reports that export to MS Excel for a table or graph. The module also comes with a dashboard that enables responsible individuals to to keep up on the key performance indicators. Whether the KPIs be the PM status on equipment or overdue work orders. If too many unplanned corrective work orders are ordered in a specific time period the responsible person will know and can take action.
 
The Purchasing module is a fully functional modern day purchasing system within itself. With access to all the inventory and maintenance information in API Pro, this module provides maintenance the ability to quickly and accurately handle all of your purchasing needs. The purchasing module can define the purchase needs all the way through the purchasing process to invoicing. If your company policy requires all purchases to have numerous quotes on items, API Pro Purchasing module allows the user to compare the suppliers quotes in the system.
 
When someone needs spare parts or any MRO item, they can request the items through this program in API Pro. Depending on how your company works, the request will have to be approved then the purchasing department will order the items. While all of these steps are on going the requestor will have access to the status of their request. By combining this program into a CMMS, maintenance will have access to all the needed information to properly plan the work.
 
More and more companies are seeking bigger discounts with suppliers by agreeing to procuring select items with them. This program allows the purchasing department to register all the agreements in the CMMS as a reminder when a purchase order is generated. If a spare part or MRO item needs to be ordered and an agreement is made with a certain supplier, API Pro will default to that supplier and the agreed upon discount/price.
 
The Stock Control module is a fully functional inventory control program. This module tracks stock transactions, inventory levels, and is fully accessible to the other API Pro modules to provide the necessary information. From a work order, a maintenance person can reserve parts in stock for their work order. The Purchasing module can accumulate the purchasing needs when the inventory levels fall below the minimum stock levels. Inspections that require lubrication to complete a job, the stock control module will use that item number for that job. Technical data can be used to better define spare parts and reduce the time to locate spare parts or materials.
 
The datalogger interface allows for a quick and paperless solution to issue spare parts from stock by utilizing barcode technology. With this interface, receiving and stock inventories will be made quick and easy. Performing these tasks are as simple as scanning a couple of barcodes.
 
To better plan the personnel resources within your organization, this module can do this for the user. The user will not only be able to plan your maintenance resources, but you will always have an overview of the used, available, and working hours of your personnel.
 
The Production Calendar within API Pro, provides maintenance planning during production shutdowns with a tool to easily plan resources needed for the tasks.
 
If you have other systems that needs data from API Pro, you can have this information automatically updated. This reduces the chances for error and saves time. Examples of this program would include capturing the financial data from API Pro CMMS and update your information in your accounting system. If you use another inventory control system - that information can be kept up to date within API Pro CMMS also.
 
The API Pro CMMS Industrial Interface provides a direct interface with condition monitoring and control software to determine when maintenance or inspections need to be executed. This module uses an OPC interface to read measurements or faults given by the software. When the condition monitoring or control software reads a value, preset by the user, a work order or inspection is generated for a maintenance person to execute.

Lets move your company into the 21st century. With this program, you can have work orders, counters, or any other needed information automatically imported. Since most of your equipment comes with some type of controls system. Use it! For instance, you can take the fault information from your PLC to create a work order for the maintenance department. No human involvement performed automatically.
 
While SAP is a great MRP, SAP lacks the features needed to properly management your maintenance activities. With this interface, you can keep your financial data, inventory, purchase management, etc. API Pro CMMS has many different installations were the users have a SAP interface that keep many different combinations of data updated in real time.
 
The data logger interface allows for a quick and paperless solution to issue spare parts from stock by utilizing barcode technology. With this interface, receiving and stock inventories will be made quick and easy. Performing these tasks are as simple as scanning a couple of barcodes.
 
Another method for paper work reduction is using Palm units for inspections and work orders. The maintenance personnel performing the inspections will have all the information needed to perform the job on the handheld unit. The equipment, inspection points, and ability to record any type of readings needed for the inspection. The work order system in the Palm provides the maintenance personnel the same information as a printed work order (equipment, safety notes, work instructions). API Pro now can be used on a Symbol unit that allows maintenance personnel to scan spare parts being used on a work order.
Whether you prefer a Palm based handheld or the Pocket PC based, API Pro CMMS is supported on both platforms.
 
The flexibility of API Pro comes from two main points:
Configurable

For every module you have in your installation, API Pro has a module configuration program to define how this CMMS can best fit your business requirements. For example: Approval rights for purchase orders and purchase requests can be defined by value, by cost centers, or both. Users can approve PM work orders, but no other work orders. Screen Design & Translation Tool

API Pro has many fields to capture an immense amount of data. If some fields are not required by your process, your administrator can remove them to reduce the confusion they may impede on your users. You also have the ability to require data to be entered into a field or make the field optional. If a group or team of users should not be able to change a particular field in a program, the administrator can make the field display only for them. All of these options can be tailored to specific teams/groups or all users. If you do not like the name of a field or menu item, the administrator can change the name to reflect your jargon. Integration

One of the most critical features in a CMMS today is the ability to communicate with other software systems. API Pro can integrate with many types of software for numerous reasons. API Pro can integrate with a Manufacturing Execution System software, which will generate work orders when set values are exceeded. When purchasing records needs to be entered in to an ERP system. API Pro can integrate with many of the top software systems world wide.
 

Technology

API Pro is available for multiple database uses, like Oracle, Progress, and MS SQL.
If needed, API Pro is available through the internet. If you have a world wide company, your service people will be able to access API Pro through a simple internet connection.
 
 

Customizable
